COMMITTEE MEETING MINUTES

Wednesday 15 April 2026, 6.00pm

1.Apologies for absence

2. Declaration of conflicts of interest

None.

3. Approval of minutes of the meeting held on 11 March 2026

Approved.

4. Matters arising from the last meeting not otherwise covered in the agenda

 

Action point from the minutes of the meeting on 11 March 2026

  1. Sunday Funday WhatsApp Group - This is up and running.
  2. Court Repair date – Ewen contacted Premier Sports and still waits for confirmation of the date.
  3. Promotional banners and Open Day leaflets – Banners are on display. Mike to check stakes for more secure fixing. ACTION 1 Ewen will make ready the Open Day leaflets in time for the AGM. ACTION 2
  4. Community News articles – March edition article published and the Open Day article will be published on 17 April.
  5. HCSL invoices & interest free LTA loan – Invoices and loan paid.
  6. Coaching alternatives – Barry spoke about his contact with Wenhaston Tennis Club and will continue to explore possibilities. ACTION 3

 

5. Chair

The agenda and content of the 2026 AGM was discussed and agreed, including new Membership packages and subscriptions.  The meeting’s agenda is as follows:

  • Welcome & apologies
  • Approval of minutes from 22 April 2025
  • Officers’ reports (Chair & Treasurer)
  • Club developments - playing groups, membership numbers, competition tennis, support for our committee, projects & funding (Ewen), membership subscriptions and Open Day (Lyn)
  • Confirmation of Officers & Trustees
  • AOB

 

6. Treasurer

Richard will send to committee members an electronic copy of the redrafted letter, requesting funding support from the Halesworth Town Council to renovate our Club’s hut. ACTION 4

 

7. Safeguarding

Lyn continues to keep up to date attendance records of Gary’s weekly coaching sessions and LTA requirements are met.

 

8. Coach Gary

Gary will attend and run sessions at our Open Day on the 17 May. Barry has not yet heard from Gary about a new coaching group for Beginners.

 

9. HCSL – report from our representative

Nothing further to report.

 

10. The courts

Nothing further to report.

 

11. Future capital projects & fundraising

The hut renovation will be introduced and discussed at the AGM.

 

12. Website, Clubspark & social media

Lyn has put the Open Day schedule on our website’s Welcome page and is in contact with the LTA to tie this in with a Barclays Big Tennis Weekend as we did last year. ACTION 5

 

13. Membership

At the time of writing, the Club has a membership of 73.

 

14. AOB

a) Ewen will attend the Suffolk Tennis AGM & Forum in June.

b) Committee members will send to Ewen suggested content for “letterbox drop” leaflets to advertise the club within and around the local community. ACTION 6

c) Ewen will forward to the committee Heveningham Hall’s email about volunteering at the fair on the 27/28 June.

d) Lyn will ask Gary if he can attend our next meeting in May when we plan to finalise plans for Open Day.

e) Lyn will attend a virtual Tennis Volunteer Community event on 21 April.
